2023 Field leadership meeting

REGISTRATION

DATES: March 20 – 23, 2023 at the Omni Hotel in Fort Worth, Texas 

ARRIVALS: 

 Monday, March 20 by 2:00 pm CST: Attendees of the Regional Director Meeting arrive by this time (includes Divisional Vice Presidents & Regional Directors)  

Monday, March 20 by 4:00 pm CST: All other attendees arrive by this time (includes District Managers, Group Store Managers, Field Loss Prevention Managers and HR Business Partners) 

 Monday, March 20 9:00 am - 5:00 pm CST: Registration is open o Monday, March 20 5:00 pm CST: Opening General Session begins 

DEPARTURES: 

 Departure day is Thursday, March 23. There will not be any meetings hosted on Thursday. Airport transportation will begin at 8:00 AM (CST) and will run until 12:00 PM (CST), so please plan your travel accordingly.

 BOOKING YOUR FLIGHT 

You are required to book your own flight for the 2023 FLM meeting through the Navan Meeting Portal. Do not use the standard Navan tool. Within 3 business days of submitting your registration form for FLM, you will receive an email from Navan Support that contains the details to book your flight. Note: The deadline to book flights is 11:59PM CST on Wednesday, March 1, 2023. Please email StoreOps-EventsEngagement@gamestop.com with any questions regarding your registration or flight. 

TRAVEL EXPENSES 

Please review the below expenses related to traveling to the 2023 FLM: 

Airfare: GameStop will cover the cost of your roundtrip airfare to DFW if booked through the Navan Meetings Portal. GameStop will not cover the cost for any change fees associated with incorrect bookings unless you have prior approval from the Events & Engagement team.

 Driving: If you elected to drive to FLM instead of flying, the Events & Engagement team will be providing more details in the coming weeks on how to expense your milage. Mileage is reimbursable at 0.56 cents per mile. 

Hotel: GameStop will secure your hotel and cover the cost of your hotel rooms Monday, March 20 departing Thursday, March 23. Any additional night stays, either for Stay & Play purposes, or for personal preference will be at your own expense. These additional days out of the office will be considered vacation time and should be recorded in WorkDay.

 Note: You will be required to put down a credit card when you check into the hotel. This card is pre-authorized to cover the costs associated with any incidentals you purchase to your room (i.e. room service, movies, long distance phone calls, etc.). GameStop will NOT cover any costs associated with incidentals. If you don’t charge any incidentals to your room, your card will be refunded the pre-authorization amount. 

Additional Business Expenses during FLM: Once you arrive at the Omni hotel, you should not need to make any purchases associated with business needs. If you have any concerns or questions about what is and what is not a reimbursable purchase during FLM, please contactStoreOps-EventsEngagement@GameStop.com or stop by the registration desk at FLM. 

DON'T HAVE A CORPORATE CARD?

This year, you’ll use your corporate card to purchase your flight to FLM. You can also use this card for your incidental hold at the Omni Hotel, but be sure if you do have a personal charge to settle the expense with the hotel before you depart. If you do not have a corporate card, please email ExpenseReporting@gamestop.com by EOD February 13 and submit the request. 

Note* These cards are company backed and do not hit your credit report. 

You will need to submit your expense report before March 15. Instruction on how to code your flight will be sent out in the coming weeks.            

ATTENDEES

CONFIRM YOUR REGISTRATION! 

Attendees for the 2023 Field Leadership Meeting include all Group Store Managers, District Managers, Regional Directors, and our Divisional Vice Presidents, as well as Field Human Resources and Loss Prevention teams. 

Registration will open for these associates beginning February 9, 2023 and remain open until February 23. Anyone that holds one of the above positions prior to March 1 is eligible to attend. 

Everyone should confirm their registration by March 1. All confirmed attendees will be linked here. Please allow 3 business days for the confirmed attendees page to be updated. This is a manual process and will be updated as often as possible. 

You can also view the Roommate Matching list in the link above. If you are a Director level or below and do not see a roommate match for yourself, please note that roommates will be added or adjusted based on hiring changes. hotel accomodations

You are of course welcome to stay anywhere you'd like before March 20, or after March 23 if you choose to come into town early or stay after FLM. BUT...we do have a special GameStop rate for you at The Omni of $209 a night 

Omni Hotel Rate: $209/night plus tax 

To Book Stay & Play Room Nights: You will need to indicate within the registration portal that you are planning to take vacation in conjunction with Conference and that you plan to stay at the Omni Hotel. From there, just follow the prompts. While you will be responsible for paying for your vacation nights when you check out, this year the Events & Engagement team will book your vacation nights (if you plan to stay at Omni Hotel) for you.

FREQUENTLY ASKED QUESTIONS 

Q: Where will the meeting take place?

 A: The meeting will take place in-person in Fort Worth, Texas. You should have received the details on February 9 via email. 

Q: Who is attending the meeting? 

A: All Gamestop associates that hold a field management position (GSL or above) prior to March 1. 

Q: When can I register? 

A: Registration opens on Thursday, February 9. Click here to register. 

Q: Why do we have to register for this event? 

A: A few reasons that include grabbing information on travel details, dietary preferences and attendee information! 

Q: Will we receive an email confirmation after registering? 

A: No, you will receive a confirmation email after you submit your registration form. However, you will receive a flight invitation within 3 business days of submission which will confirm your registration. 

Q: Am I allowed to expense lunch during the 2022 FLM?

A: Lunch will be provided for you during FLM!
